
Handling Patients Who Don't Want to Leave a Credit Card Number on File:
- Assure the patient, and show them on the screen, that the credit card number is fully encrypted and cannot be read by anyone in the office, ever.
- Offer the "limit" option. A dollar limit entered on the Pay Method screen means you will not be able to charge more than the limit in total for this visit.
- Explain that the office policy does not allow you to write a refund check if the patient is owed any credit; the only way to provide the credit is to either keep it on file, or apply it to the patient's credit card.
I forgot my password. How do I get a new one?
- See your office administrator, who will arrange for us to set up a new one for you.
Why can't I change the credit card number on the patient's pay method?
- The only fields you can update on a pay method are the Active flag (from Active to Inactive), the expiration date, and the limit. If the patient wants to use a new or different card, you must Add a pay method. If the patient does not want you to be able to use a card you've already swiped, go to that pay method by selecting it from the drop down box, click "change", and change the status from Active to Inactive.
We have a new doctor working here. How do I add her to the list?
